Records
Keep the complaint, acknowledgement, investigation notes, response, and any meeting notes. Once a complaint or claim is in view, do not silently overwrite clinical entries. Add dated amendments if you must correct a fact.
Themes
Three similar complaints about waiting times, consent, or lab work are a system problem. Put them on a practice meeting agenda (without naming patients in an open forum). Change the template, the booking rules, or the training — then say so in the next similar response.
CQC and GDC files
Inspectors and registrars look for a procedure that matches real life, a named lead, and evidence that complaints are logged and learned from — not a zero figure achieved by never writing anything down.
Series close
Module 1: receive, investigate, respond locally. Module 2: escalate correctly, stay professional online, and learn. Together they are 2 hours of verifiable CPD.
